Full job description

Role Overview

You will be responsible for handling incoming customer enquiries across email, phone calls, and WhatsApp. You will guide customers through our services, answer questions, provide quotes where needed, and follow up with enquiries to help convert them into orders.

During quieter periods, you will also help with website updates, blog writing, basic SEO tasks, and marketing-related content. This may include writing helpful blog posts, improving website information, and helping us keep our online presence up to date.

This is a remote role, so you must be comfortable working independently, communicating clearly, and managing your time well.

About Apostille Solutions

Apostille Solutions is a UK-based document legalisation company helping individuals, businesses, and corporate clients get their documents apostilled, certified, and prepared for international use.

We are looking for a reliable, professional, and well-spoken remote assistant based in South Africa to help manage day-to-day customer enquiries, sales communication, and light marketing tasks.

Full training will be provided.

Key Responsibilities

Your main duties will include:

  • Answering customer emails professionally and promptly
  • Handling incoming customer phone calls
  • Responding to WhatsApp enquiries
  • Explaining our apostille, certification, and document legalisation services
  • Providing quotes and following up with potential customers
  • Helping convert enquiries into orders
  • Keeping accurate records of customer communication
  • Updating website content when required
  • Checking that service information, pricing, and contact details are accurate
  • Writing blog posts for the website during quieter periods
  • Assisting with basic SEO tasks, including keyword-focused content writing
  • Supporting simple marketing tasks and content ideas
  • Escalating complex queries to management when needed
  • Providing excellent customer service at all times

Requirements

The ideal candidate will have:

  • Excellent written and spoken English
  • A professional and confident phone manner
  • Strong customer service and communication skills
  • Good attention to detail
  • Confidence handling customer enquiries by phone, email, and WhatsApp
  • Ability to write clear, professional website content and blog posts
  • Basic understanding of SEO, digital marketing, or content writing
  • Ability to work remotely and manage tasks independently
  • Reliable internet connection and a quiet working environment
  • Basic computer skills, including email, WhatsApp, Google Docs, and website/admin systems
  • Previous sales, customer service, admin, or marketing experience preferred

Experience in apostille services, document legalisation, immigration, legal services, or document handling is helpful but not required, as full training will be provided.

Preferred but Not Essential

We would be especially interested in candidates who have completed or are currently completing a course in:
