Full job description

We are one of South Africa’s leading suppliers of lab-grown diamonds and bespoke jewellery, servicing over 550 jewellers nationwide. We specialise in loose diamonds, custom jewellery manufacturing, and exceptional customer service.

We are looking for a highly organised, proactive, and detail-oriented Personal Assistant / Operations Coordinator to support the daily operations of our growing business.

Key Responsibilities

Administration & Office Support

* Manage diaries, appointments, and schedules.

* Handle incoming calls, emails, and WhatsApp enquiries.

* Prepare quotations, invoices, purchase orders, and customer correspondence.

* Maintain organised filing systems and business records.

* Assist with reporting and general office administration.

Customer Service

* Follow up on customer enquiries and outstanding quotations.

* Update clients regarding manufacturing progress and delivery timelines.

* Coordinate courier collections and deliveries.

* Ensure excellent customer communication at all times.

Manufacturing Coordination

* Track jewellery orders from CAD approval through manufacturing.

* Liaise with setters, polishers, casters, suppliers, and manufacturers.

* Monitor production timelines and follow up on outstanding jobs.

* Maintain job tracking spreadsheets and manufacturing schedules.

Supplier & Procurement Support

* Communicate with local and international suppliers.

* Assist with ordering diamonds and manufacturing materials.

* Track incoming shipments and supplier deliveries.

* Follow up on outstanding supplier matters.

Executive Support

* Assist the Director with daily operational tasks.

* Manage reminders, follow-ups, and action items.

* Help prioritise urgent matters and ensure deadlines are met.

* Provide support for business development and special projects.

Requirements

* Minimum 3 years administrative or PA experience.

* Strong organisational and multitasking abilities.

* Excellent communication skills (written and verbal).

* Proficiency in Microsoft Excel, Word, Outlook, and Google Workspace.

* Strong attention to detail.

* Ability to work independently and take initiative.

* Professional appearance and demeanour.

* Experience in jewellery, luxury goods, manufacturing, or retail will be advantageous.
