Tenant Coordination & Construction Project Manager

Location: Melrose Arch, Johannesburg

Employment Type: Permanent

Reporting to: Operation Director and Managing Director

About the Role

We are seeking an experienced Tenant Coordination and Construction Project Manager to join our team and take responsibility for the successful delivery of landlord and tenant-related projects within a dynamic mixed-use precinct.

The role combines project management, property development, construction, major maintenance and tenant coordination, with responsibility for managing projects on behalf of the landlord from inception, design and procurement through to construction, completion and handover.

Projects will range from precinct redevelopments, white-shell developments and building upgrades to maintenance projects, common-area improvements, landlord works, tenant fit-outs and refurbishment projects.

The successful candidate will work closely with the leasing team, development managers, professional teams, contractors, tenants, facilities and operational teams to ensure projects are delivered safely, efficiently, within budget and in accordance with the precinct's standards.

Key Responsibilities

Landlord Project Management

  • Project manage landlord-led projects within the mixed-use precinct from inception through to completion.
  • Manage a diverse portfolio of projects including:
  • Building redevelopments
  • White-shels
  • Refurbishment and upgrade projects
  • Large-scale maintenance projects
  • Common-area and public-area upgrades
  • Building services upgrades and replacements
  • Infrastructure projects
  • Lobby and precinct upgrades
  • Tenant-related landlord works
  • Establish project scope, objectives, budgets, programmes and deliverables.
  • Coordinate the appointment and management of professional consultants, contractors and specialist service providers.
  • Manage the design development process and coordinate architectural, structural, mechanical, electrical, fire, civil and other technical disciplines.
  • Review designs and technical submissions to ensure they meet the landlord's requirements and operational needs.
  • Manage procurement, tender processes, quotations, appointments and contractor mobilisation.
  • Manage project budgets, variations, expenditure and financial reporting.
  • Develop and maintain detailed project programmes and monitor progress against key milestones.
  • Identify project risks, constraints and potential delays and implement mitigation strategies.
  • Chair and attend project meetings and provide regular progress reports to management.
  • Manage construction and maintenance activities through to practical completion, snagging, commissioning and final handover.
  • Ensure all required statutory approvals, compliance documentation and close-out information are obtained.

Maintenance Projects

  • Identify, scope and project manage significant maintenance and asset-related projects across the precinct.
  • Work closely with Facilities and Operations teams to identify ageing, defective or end-of-life building infrastructure requiring replacement or refurbishment.
  • Develop project scopes, budgets and implementation programmes for major maintenance works.
  • Coordinate specialist investigations, condition assessments, quotations and technical recommendations.
  • Manage projects involving major building components and services, including HVAC, electrical systems, generators, fire systems, lifts, access control, façades, waterproofing, roofs and other critical infrastructure.
  • Coordinate maintenance projects within an operational precinct while minimising disruption to tenants, visitors and daily operations.
  • Ensure major maintenance projects are delivered with appropriate consideration of lifecycle costs, asset performance and long-term reliability.

Tenant Coordination

  • Act as the landlord's primary project interface with tenants undertaking fit-outs, refurbishments and alterations.
  • Manage the tenant approval process from initial concept through to construction and occupation.
  • Review tenant architectural and engineering submissions against landlord requirements and precinct standards.
  • Coordinate tenant consultants and contractors with the landlord's professional team.
  • Ensure tenant works comply with lease requirements, building regulations, approved designs and operational requirements.
  • Coordinate access, construction activities, site establishment and logistics within an operational mixed-use environment.
  • Monitor tenant project programmes and identify potential impacts on the precinct.
  • Coordinate tenant handovers,
  • Manage and coordinate Tenant Installation Allowance processes where applicable.

Stakeholder & Precinct Coordination

  • Build and maintain effective relationships with tenants, contractors, consultants, property management and internal stakeholders.
  • Coordinate projects around existing tenants, retail operations, public areas and precinct activities.
  • Ensure construction and maintenance activities minimise disruption to the operation of the precinct.
  • Liaise with Facilities, Security, Operations and Building Management to coordinate project requirements.
  • Manage communication between multiple stakeholders and ensure project decisions are documented and actioned.
  • Proactively resolve technical, operational and commercial issues.

Compliance & Risk Management

  • Ensure projects comply with applicable legislation, building regulations, health & safety requirements and landlord standards.
  • Coordinate requirements relating to approved building plans, occupancy certificates, fire compliance and other statutory approvals.
  • Ensure contractors comply with site health & safety requirements and precinct rules.
  • Review and manage project risks throughout the project lifecycle.
  • Ensure appropriate project documentation is maintained and projects are formally closed out.

Minimum Requirements

  • Relevant qualification in Project Management, Construction Management, Quantity Surveying, Property Development, Building Science or a related discipline.
  • Minimum 5–8 years' experience in construction, property development, project management or a related field.
  • Proven experience managing construction, refurbishment and large maintenance projects.
  • Experience within a commercial, retail, mixed-use or property environment.
  • Strong understanding of construction methodologies, building services and professional consultant disciplines.
  • Experience managing contractors, consultants and professional teams.
  • Strong understanding of project programmes, budgets, procurement and contract administration.
  • Good understanding of statutory and construction compliance requirements.
  • Excellent management and communication skills.
  • Strong Microsoft Office skills, particularly Excel and Word.
