JOB SUMMARY

To provide administrative, compliance and operational support to the Human Resources Department. This includes recruitment coordination, onboarding and documentation, personnel administration, time and attendance monitoring, leave management, IR support, offboarding, and responding to employee queries. The role ensures accurate recordkeeping, efficient HR processes, and alignment with company standards.

RESPONSIBILITIES

Recruitment and Selection

  • Support recruitment advertising and alignment of job postings.
  • Manage CV storage and the candidate database.
  • Ensure PRFs are completed within 2 days of vacancy
  • Shortlist candidates and coordinate interview logistics, including scheduling and rubric preparation.
  • Participate in first‑round interviews.
  • Prepare offer letters and ensure they are signed by successful candidates

Onboarding and Documentation

  • Prepare induction documentation and deliver induction presentations for all new hires.
  • Complete standard employment contract templates and ensure signatures from all parties.
  • Ensure new hires are added onto S. O with 100% data accuracy
  • Ensure HR compliance of employee hard copy and electronic files within 1 week of start date

Offboarding

  • Ensure timely submission of termination documents and communicate exits to recruitment & Payroll.
  • Ensure 100% accuracy of offboarding.

Payroll Admin, and Time and Attendance

  • Conduct weekly time and attendance checks and follow up on discrepancies
  • Ensure shift are configured as per sites requirements

Leave and HR Administration

  • Administer and review leave forms, ensuring compliance and following up on outstanding documentation
  • Provide first‑line employee support and resolve basic employee queries

Industrial Relations

  • Involved in investigations for all disciplinary matters
  • Schedule disciplinary meetings
  • Prepare disciplinary bundle

Compliance and Policies

  • Ensures compliance with labour legislation, and company policies, and manages HR-related documentation.

Personnel Administration

  • Acts as the first point of contact for staff inquiries
  • Ensure that the personnel filing system and all other HR records are maintained and updated as per the company standards
  • Provide administrative support to the HR Administrator / Manager
  • Attend to confirmation of employment enquiries, in line with the Protection of Personal Information Act
  • Absconding procedure- ensure that the spreadsheet is kept updated and that correct procedures are followed
  • Foreign nationals: update and manage permit record spreadsheet. Ensure that the correct procedures are followed with regards to the renewal of permits as well as failure to renew permits

REQUIREMENTS

  • Grade 12 / Matric (essential).
  • National Diploma in Human Resource Management, Industrial Psychology, or related field
  • Minimum of 1 years’ experience in an HR assistant role.
  • Experience in recruitment coordination, onboarding, and HR documentation.
  • Exposure to time and attendance /payroll systems will be advantageous
  • Must have basic knowledge of BCEA, LRA, and general SA HR legislation
