ob Title: Office Administrator

Role Overview:

We are looking for a highly organised and proactive Office Administrator to oversee the day-to-day administrative operations of the business. This role requires someone with excellent communication skills who can liaise with tenants, contractors, suppliers, local councils, and accountants while ensuring the office runs efficiently.

Key Responsibilities:

  • Prepare and issue invoices, process payments, and maintain accurate financial records.
  • Liaise with local councils regarding permits, compliance, and municipal matters.
  • Communicate with tenants, addressing queries and coordinating maintenance requests.
  • Schedule and attend property inspections or meetings when required.
  • Coordinate with contractors and suppliers for repairs, maintenance, and procurement.
  • Work closely with the company’s accountant by providing financial documentation and administrative support.
  • Maintain filing systems, records, and office documentation.
  • Answer phone calls, emails, and general correspondence professionally.
  • Manage office supplies and coordinate day-to-day administrative tasks.
  • Assist management with reporting, scheduling, and other ad hoc administrative duties.

Skills & Experience:

  • Previous experience in an administrative or office management role.
  • Strong organisational and time-management skills.
  • Excellent verbal and written communication.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer systems ,MDA , PASTEL
  • Experience with invoicing and basic bookkeeping is advantageous.
  • Ability to multitask and work independently.
  • Professional, reliable, and customer-focused.

Desirable:

  • Experience in property management, construction, or facilities management.
  • Familiarity with council processes and contractor coordination.
  • Valid driver’s licence (if site visits or inspections are required).

This title and description fit someone who acts as the central point of contact between the office, tenants, contractors, suppliers, councils, and the accountant while handling the administrative and invoicing function

Pay: R8 000,00 - R15 000,00 per month
