  • Manage workflows, priorities, productivity, service levels and operational targets.
  • Monitor volumes, backlogs, turnaround times, follow-ups and case progression.

  • Ensure CRM records, case notes, documentation and follow-up activities are accurate and up to date.
  • Prepare and communicate regular KPI and performance reports.

Team Leadership

  • Set clear expectations and create a culture of accountability and high performance.
  • Allocate work and monitor team delivery.

  • Support onboarding and ongoing development of team members.

Client Experience

  • Ensure clients receive timely, professional, empathetic and easy-to-understand communication.
  • Handle routine escalations and assist with complaints and sensitive client matters.
  • Support effective communication with clients, medical practitioners, the CRA and other relevant stakeholders.
  • Ensure service issues are identified and resolved quickly.

Quality, Compliance & Process Improvement

  • Ensure personal, medical, financial and tax information is handled securely and confidentially.
  • Maintain high standards of accuracy, documentation and process compliance.
  • Identify recurring errors, process gaps and operational inefficiencies.
  • Help implement solutions that improve productivity, quality, collections, service and cost efficiency.
  • Use data and operational insights to identify opportunities for improvement.

What We’re Looking ForEssential Requirements

  • 2+ years’ experience in operations, customer service, call centre, case management, healthcare administration or a similar environment.
  • Previous experience as a Team Leader, Supervisor or Acting Manager, with responsibility for team performance.
  • Experience working with KPIs, service levels, CRM systems and operational reporting.
  • Strong Excel skills and confidence working with operational data.
  • Excellent verbal and written English.
  • Strong communication, problem-solving and organisational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and a high level of accuracy.
  • Comfortable making practical decisions and handling routine escalations.
  • Ability to work Monday to Friday, 3:00 PM – 12:00 AM SAST, from our Melrose Arch office.

Advantageous

  • Experience in a high-volume contact centre or case-management environment.
  • Experience with outbound calling and document collection.
  • Experience managing multi-stage client cases.
  • Experience working with healthcare, tax, financial services or similar regulated information.

  • Remains calm and solutions-focused under pressure.
  • Is commercially aware and understands the impact of productivity, quality and operational decisions.
  • Has high integrity and understands the importance of confidentiality.
  • Enjoys improving processes rather than simply following them.

  • Achievement of operational, service, quality and commercial targets.
  • Team productivity, performance and accountability.
  • Case progression, backlog management and turnaround times.
  • Client experience and complaint resolution.
  • Accuracy and compliance of CRM records and documentation.
