HR Administrator
Midrand, South Africa – onsite setting
Fixed-term contract until the end of 2027
MAIN RESPONSIBILITIES
HR Administration
Support the administration of payroll by preparing and validating employee data, leave records, and payroll-related documentation.
Assist with employee onboarding and offboarding processes, including preparing contracts, employment letters, certificates of service, benefit documentation, and personnel files.
Coordinate induction activities and support the onboarding experience for new employees.
Maintain accurate employee records and ensure HR information is updated in relevant HR systems.
Generate HR reports and maintain employee databases, organizational charts, and personnel documentation.
Respond to employee queries regarding HR policies, procedures, leave, benefits, and general HR matters.
Support compliance with local labour legislation and internal HR policies.
Assist with government reporting requirements and HR audits as required.
Ensure all employee files and documentation are maintained confidentially and in accordance with company standards.
Work closely with OneHR Team on administration activities related to recruitment & document creation
Employee Relations Support
Provide first-level HR support to employees and managers on routine HR matters.
Assist in documenting employee relations cases, disciplinary meetings, and grievance processes.
Coordinate employee engagement and wellness initiatives.
Support internal HR communications and employee events.
Escalate complex employee relations matters to the HR Manager.
Learning & Development
Coordinate training nominations, attendance records, and training schedules.
Maintain training records and learning databases.
Support the administration of employee development plans and training initiatives.
Assist with organizing HR workshops, awareness campaigns, and compliance training.
HR Reporting & Compliance
Prepare regular HR reports and dashboards.
Monitor employee data accuracy and support data audits.
Assist with Employment Equity reporting and related administrative activities.
Support HR projects and continuous improvement initiatives.
CANDIDATE PROFILE
Diploma or Degree in Human Resources Management, Industrial Psychology, Business Administration, or a related field.
1-3 years' experience in an HR Administration, HR Coordinator, or Junior HR role.
Experience supporting recruitment, onboarding, employee records management, and HR administration.
Basic understanding of South African labour legislation and HR best practices.
Strong administrative and organizational skills with high attention to detail.
Ability to manage multiple priorities and meet deadlines.
Good interpersonal and communication skills.
Strong customer service mindset with the ability to interact professionally with employees at all levels.
Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
Experience working with HRIS systems would be advantageous.
Ability to maintain confidentiality and handle sensitive information appropriately.
Proactive, adaptable, and eager to learn and develop within HR.
Fluent in English, both written and verbal.
