Full job description

Hoop is seeking a proficient, versatile and motivated Senior Finance Office Administrator to join our team. As a Senior Finance and Office Administrator at Hoop, you will be part of a dynamic startup, working directly with the founding team, and help to lay the foundation for a thriving company.

In this role you will have multi-disciplinary responsibilities, which include:

Accounting & Finance responsibilities -

  • Process supplier invoices, purchase orders, account payments, and payroll.
  • Process customer invoices, and receipts, and follow up on debtors timely.
  • Maintain a digital record of all financial transactions, documents, and client / supplier information.
  • Maintain a complete and accurate Asset register.
  • Perform periodic inventory valuation and maintain an accurate inventory register.
  • Perform month-end procedures.
  • Perform relevant submissions for VAT, Payroll, and Income taxes.
  • Perform first-level reviews of the Trial Balance and Cash flow reports.
  • Prepare management reports.
  • Support the preparation of financial statements.
  • Support the product costing and pricing processes.
  • Liaise with banks and other relevant financial institutions.

Procurement & Inventory -

  • Keeping stock of all inventory / consumables and placing orders timely.
  • Receive all orders, and ensure correct storage and documentation.
  • Ensure that payments are made on a timely basis.
  • Perform periodic stock counts.

People Support & Development -

  • Ensure timesheet records are accurate and complete.
  • Prepare weekly and monthly payslips.
  • Submit wage & salary payments for authorisation.
  • Perform the administrative tasks in performance and disciplinary related meetings.
  • Ensure that all performance and disciplinary related documents are completed and filed correctly.

Clerical -

  • Responsible for the office email inbox.
  • Liaise with all relevant stakeholders.
  • Typing forms, correspondence, memos, and other materials when necessary.
  • Sorting, filing, and maintaining digital & physical filing systems for efficient recordkeeping and easy retrieval.

Requirements of the role:

  • Minimum of 5 years of relevant work experience, preferably in the manufacturing industry.
  • BCom in Accounting, Business Administration, or equivalent qualification.
  • Proven experience working with Sage Accounting, Sage Payroll or Xero.
  • Strong written and verbal communication, interpersonal, and maths skills.
  • Good problem-solving skills.
  • Professionalism, discretion, and the ability to work with minimal supervision.
  • Motivation and a strong desire to take on new challenges and learn as much as possible.

Please note that if you do not meet the minimum requirements you will not be considered for this position. Particularly, a BCom or equivalent qualification is an absolute minimum requirement and you will not be considered for the position if you do not meet this requirement.

Job Type: Full-time

Pay: R20 000,00 - R25 000,00 per month
