About the Role

We're seeking an experienced Operations Manager — Healthcare / Scheduling to lead and support our scheduling operations team. This role is ideal for a personable, level-headed leader with deep knowledge of healthcare scheduling and a proven ability to manage high-volume, fast-paced environments.

You'll ensure smooth coordination of staff schedules for U.S.-based long-term care and nursing home facilities, while mentoring schedulers, reassuring clients, and driving continuous improvement across the team. If you thrive in leadership, communicate with warmth and clarity, and want to make a meaningful impact in healthcare staffing, we'd love to hear from you.

What You'll Do

  • Lead and mentor a team of schedulers, delegating effectively while remaining hands-on where it counts.
  • Oversee daily scheduling operations across multiple U.S. healthcare facilities, ensuring accuracy, timeliness, and proper coverage.
  • Resolve scheduling conflicts quickly and diplomatically, maintaining compliance and service quality under pressure.
  • Communicate directly with clinicians, nurses, facility managers, and clients — confirming shifts, addressing urgent needs, and providing reassurance during high-stakes situations.
  • Analyze meetings and operational issues to identify root causes, document findings as a meticulous note-taker, and implement lasting solutions.
  • Receive and act on feedback constructively — both giving and receiving it with professionalism — while taking direction from leadership and translating it into team action.
  • Maintain accurate records using Microsoft Excel and scheduling software.
  • Foster a supportive, accountable, high-performing team culture built on trust and clear communication.

Must-Have Skills & Experience

Please highlight these clearly in your application:

  • 5–10 years of management experience in a call center / BPO environment (healthcare background strongly preferred).
  • 5+ years in customer service or client-facing roles, with a track record of charming, professional, and reassuring client interactions.
  • 5+ years in problem-solving roles with demonstrated success identifying root causes and resolving complex operational issues.
  • Proven experience managing scheduling or call center teams.
  • Strong organizational skills and the ability to delegate tasks while keeping accountability clear.
  • Excellent spoken and written English communication.
  • Ability to thrive under pressure, manage competing priorities, and remain composed when clients or team members need reassurance.
  • Skilled note-taker with the ability to analyze meetings and surface actionable insights.
  • Open to feedback, coachable, and able to take direction while still leading independently.
  • Proficiency with Microsoft Excel and scheduling tools.
  • Must be based in South Africa with a reliable internet connection and a quiet home workspace.
  • Must have or willing to obtain battery power back up and duel monitors
