JOB PURPOSE:
The purpose of this job is to provide administrative assistance to the Student Administration: Student Operations division by coordinating and managing student appeals, overseeing the printing and quality control of certificates, issuing declarations to clients, verifying TuksSport students as bona fide University of Pretoria students, and managing the assets of the Student Administration: Operations unit.
RESPONSIBILITIES:
The successful candidate’s responsibilities will include, but are not limited to:
- General administration:
- Manage and monitor booking for collection and/or couriering of certificates;
- Manage the recordkeeping of collection, courier and safekeeping of certificates, and finalise all enquiries;
- Assist with the issuing of certificates at graduation ceremonies and at the office;
- Issue requested declarations for alumni, print lists of modules and translations, verify qualifications, and issue proof of registration;
- Manage graduation correspondence;
- Provide administrative support at each graduation ceremony;
- Student appeals: Administration:
- Manage and coordinate meeting dates and logistical arrangements for the Senate Review Committee on Readmission;
- Maintain and update the information and dates for the Faculty Appeals Committee meetings and for the Senate Review Committee on readmission meetings on the UP calendar and UP webpage;
- Provide support to faculty administrative staff and resolve challenges regarding the appeals process;
- Maintain and update student appeal letters;
- Manage enquiries regarding student appeals in collaboration with the Deputy Director: Student Administration, and the office of the Registrar;
- Maintain a record of all appeal applications and outcomes for annual auditing and reporting purposes;
- Compile statistics after each appeal and review session;
- Academic records:
- Manage, administer, and process requests from faculties for University blank certificates for oath taking, internships, certificates for students on the Dean’s list, etc.;
- Print official academic records for graduation, legal and finance division;
- Manage and maintain the stock of academic record paper.
MINIMUM REQUIREMENTS:
- A relevant three-year National Diploma, with;
- Three years’ experience in:
- Administration;
- Computer Literacy: Internet, PeopleSoft;
- Curriculum compilation;
OR
- Grade 12, with;
- Five years’ experience in:
- Administration;
- Computer Literacy: Internet, PeopleSoft;
- Curriculum compilation.
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
- Knowledge:
- Accounting;
- Student administration at a Higher Education Institution;
- University yearbooks and academic structures;
- Degree certificates/diplomas, academic records and

- Managing, safekeeping and auditing of confidential official documents;
- Technical competencies:
- Computer skills;
- Report writing skills;
- Scanning software;
- Updating and maintenance of student personal data;
- Verification software;
- Behavioural competencies:
- Ability to:
- Accomplish tasks and processes accurately and completely;
- Arrange and assign work to use resources efficiently;

ADDED ADVANTAGES AND PREFERENCES:
- A relevant Bachelor’s/BTech degree, with:
- Three to five years’ experience/knowledge in/at:
- A Higher Education Institution;
- General Academic Regulations, Faculty Regulations, and Student Rules;
- Advanced computer related experience regarding the internet and student records at a Higher Education Institution;
- Valid driver’s license.
The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
