ClinicFlow is a patient acquisition platform that connects people with chronic pain conditions to specialist regenerative medicine physicians across the US. We run the full patient journey — from first inquiry through to specialist consultation — and we're expanding our in-house coordination team to support growing demand.

This is not an agency. We own the patient relationship end-to-end. Our Setters are the first human touchpoint in that journey.

The Role

We're hiring a Appointment Setter to manage inbound calls with people who have already expressed interest in regenerative medicine treatment for chronic joint pain.

Leads come to you warm — they've seen our content, submitted a form, and received follow-up from our team. Your job is to have a structured 5–10 minute conversation, assess whether they're a good fit, and book them into a specialist consultation.

This is not cold calling. This is consultative, high-volume phone work with genuinely interested people.

What you'll do:

• Call inbound leads within 5 minutes of opt-in — speed matters
• Run structured qualification calls (5–10 minutes) assessing condition, history, and cash-pay awareness
• Pre-frame the specialist consultation and set accurate expectations
• Book qualified patients into specialist consultations
• Follow up with leads who didn't answer or didn't book
• Log all activity accurately in GoHighLevel CRM
• Submit daily end-of-day reports
• Hit a weekly qualified booking target (15+/week at full volume)

What you won't do:

• Give medical advice or make clinical claims — ever
• Discuss treatment pricing (that's the specialist's job)
• Pressure patients — if they're not a fit, you release them cleanly

Who You Are

• 1–3+ years in a phone-based role: patient coordination, healthcare sales, insurance, financial services, or similar
• Comfortable making 50–80 calls per day
• You can build trust quickly with people who are skeptical, in pain, or unfamiliar with elective medicine
• You follow a script without sounding like you're reading one
• Organised, self-motivated, and CRM-literate
• Experience in healthcare, wellness, aesthetics, or medical sales is a strong plus
• GoHighLevel or similar CRM experience is a plus
• Comfortable discussing treatments that cost $5,000–$15,000+ out of pocket

Compensation

• Competitive hourly rate (discussed at offer stage)
• Weekly performance bonus: $25–$35 per qualified booking above weekly target
• Full training provided (14-day structured onboarding before going live)
• Clear path to a closer role for high performers
