Part-Time PA & Operations Administrator (Remote)

We are a growing consulting business supporting a diverse portfolio of clients across multiple industries. We pride ourselves on delivering high-quality operational, administrative and financial support, allowing our clients to focus on growing their businesses.

As our client base expands, we are looking for a highly organised, proactive and tech-savvy Part-Time PA & Operations Administrator to join our team on a flexible hourly basis.

About the Role

This is far more than a traditional administrative role.

You'll become an extension of our clients' businesses, providing executive support, coordinating projects, improving processes and helping keep day-to-day operations running smoothly. Every day will be different, so we're looking for someone who enjoys variety, takes ownership of their work and thrives in a fast-paced environment.

Depending on your experience, you may also assist with financial administration and bookkeeping for selected clients.

Key Responsibilities

  • Executive and personal assistant support
  • Diary, calendar and inbox management
  • Meeting scheduling and coordination
  • Drafting professional correspondence and emails
  • Preparing reports, presentations and meeting packs
  • Managing action lists and following up on outstanding tasks
  • Maintaining CRM systems and client databases
  • Organising digital filing systems and documentation
  • Coordinating projects and tracking deadlines
  • Liaising with clients and stakeholders
  • Identifying opportunities to improve processes and efficiencies
  • Assisting with onboarding new clients
  • Supporting ad hoc operational and administrative projects

Advantageous Experience

Experience in any of the following would be beneficial:

  • Xero or similar accounting software
  • Invoicing and accounts administration
  • Debtors and creditors
  • Basic bookkeeping
  • Bank reconciliations
  • Payroll administration

We're looking for someone who is:

  • Exceptionally organised with outstanding attention to detail
  • Proactive and able to work independently
  • Comfortable managing multiple priorities and clients simultaneously
  • A strong written and verbal communicator
  • Professional and confident when dealing with clients
  • Process-driven and always looking for ways to improve efficiency
  • Tech-savvy and quick to learn new software
  • Comfortable using AI tools such as ChatGPT or Microsoft Copilot to improve productivity
  • Adaptable, resourceful and able to take ownership of their work

Preferred Software Experience

  • Microsoft Office (Word, Excel, Outlook)
  • Google Workspace
  • CRM systems
  • Project management tools (Monday.com, Asana, Trello, Airtable or similar)
  • ChatGPT, Microsoft Copilot or other AI tools
  • Xero or similar accounting software (advantageous)

Working Arrangement

  • Remote position
  • Part-time, flexible hourly engagement
  • Hours will vary depending on client requirements and business needs
  • This role is initially offered on an hourly basis
  • There is genuine opportunity for increased hours and a permanent position as our business and client base continue to grow
