Dental Practice Manager

We are looking for an experienced, organised and highly accountable Dental Practice Manager to oversee the day-to-day operations of a busy dental practice.

This position is suited to someone who understands that excellent patient care depends on strong systems, an efficient team, accurate administration and consistent financial control.

Key Responsibilities

The Dental Practice Manager will be responsible for:

  • Managing the daily operations of the dental practice
  • Supervising receptionists, dental assistants and other support staff
  • Managing staff schedules, attendance, leave and performance
  • Ensuring the appointment book is managed efficiently and chair time is maximised
  • Monitoring cancellations, no-shows and outstanding patient follow-ups
  • Ensuring patients are correctly quoted, billed and payments are collected according to practice procedures
  • Monitoring medical aid claims, rejected claims and outstanding accounts
  • Managing debtors and following up on overdue patient accounts
  • Monitoring daily, weekly and monthly practice revenue
  • Preparing basic operational and financial reports for the practice owner
  • Ensuring practice policies and SOPs are followed consistently
  • Managing stock levels, ordering and supplier relationships
  • Controlling unnecessary expenditure and stock wastage
  • Managing patient complaints professionally and promptly
  • Monitoring the overall patient experience from booking to post-treatment follow-up
  • Ensuring reception, clinical and common areas maintain appropriate professional standards
  • Supporting patient retention, recalls and reactivation initiatives
  • Coordinating practice marketing activities with the owner or marketing team
  • Ensuring staff provide excellent customer service
  • Identifying operational problems and taking responsibility for resolving them

Minimum Requirements

Applicants should have:

  • Previous experience in dental, medical or healthcare practice management
  • Strong leadership and people-management skills
  • Excellent organisational and administrative abilities
  • Experience managing patient accounts, payments and medical aid claims
  • Good computer skills and confidence working with practice-management software
  • Strong communication and problem-solving skills
  • Ability to manage multiple responsibilities without constant supervision
  • A strong understanding of confidentiality and professional conduct
  • Excellent attention to detail
  • A results-driven and accountable approach to work

Previous experience specifically within a dental practice will be a strong advantage.

The Person We Are Looking For

We are looking for someone who is not simply an administrator.

You must be comfortable taking ownership of the practice's daily operations, managing people, enforcing systems, monitoring performance and ensuring that problems are followed through until they are resolved.

You should be able to identify when the appointment book is too quiet, when follow-ups are not being done, when accounts are outstanding, when staff are not following procedures and when the patient experience is falling below the expected standard.

The successful candidate will be professional, firm, proactive, dependable and commercially aware.
