About the Role
The Back Clinic in Bryanston is seeking a highly competent, metrics-driven Practice Operations Manager. In this role, you will act as the vital operational and administrative bridge between executive group management and our multidisciplinary clinical teams (Doctors, Physiotherapists, and Biokineticists).
This is a senior supervisory position requiring strong leadership and deep administrative competence. We are not looking for a general administrator or receptionist; we need an assertive coordinator who can optimize patient flow, strictly manage clinical data and medical aid billing, and drive the branch's daily operational efficiency.
Key Responsibilities
- Operations & Branch Metrics: Drive KPIs to maintain a patient completion rate of 85–90% and keep patient drop-off rates below 5%. Oversee medical billing, patient invoicing, and petty cash.
- Data Capturing & Reporting: Manage clinical data capturing, patient tracking sheets, and weekly/monthly medical aid reports with absolute accuracy. Ensure strict POPIA compliance regarding patient data.
- Logistics & Admin Excellence: Complete monthly consumable reports, asset registers, and procurement requests. Manage staff leave scheduling, overtime, and payroll submissions for permanent and locum staff.
- Patient Flow & Escalations: Maintain exceptional customer service standards. Address and resolve complex patient queries or complaints within 24 to 72 hours.
- Team Leadership & Culture: Support the Branch Lead in maintaining team culture, resolving interpersonal conflicts, onboarding new staff, and identifying clinical/admin training gaps.
Strict Candidate RequirementsImportant Filter: Applicants without prior experience managing clinical data, medical billing, or healthcare workflows will not be shortlisted.
Required Knowledge & Experience:
- Healthcare Industry Experience: Direct, practical experience in medical/dental practice operations, medical billing protocols, and medical aid reports is mandatory. Familiarity with the DBC (Documentation Based Care) protocol is highly advantageous.
- Technical Proficiency: Advanced, hands-on experience utilizing MedEdi, TBC Booking System (or equivalent medical booking software), Microsoft Excel (data management), and Google Cloud.
- Healthcare Compliance: Solid understanding of South African healthcare laws, medical ethics, and business practices.

- Assertive Leadership: Proven ability to give direction, delegate tasks effectively, and manage a multidisciplinary clinical team.
- Metrics-Driven: Highly organized, self-motivated, and intensely focused on managing time, deadlines, and branch outputs.
