Full job description

Unique Health is seeking a professional, organised and highly efficient Office Administrator to join our team and provide essential administrative and operational support within our nursing and healthcare services environment.

The successful candidate will be responsible for ensuring the smooth coordination of daily administrative functions, supporting nursing and care staff, maintaining accurate records, and providing professional communication with clients, families, healthcare professionals and internal teams.

Key Responsibilities

  • Manage day-to-day office administration and provide administrative support to management and operational teams.
  • Handle telephone calls, emails and general enquiries professionally.
  • Maintain accurate electronic and physical filing systems.
  • Maintain employee and nursing staff records and compliance documentation.
  • Assist with staff onboarding, orientation and administrative processes.
  • Monitor professional registrations, qualifications, certificates and other compliance requirements.
  • Assist with staff availability, rostering, shift allocations and replacements.
  • Maintain staff attendance, leave and absenteeism records.
  • Maintain accurate client and resident records and service documentation.
  • Assist with client contracts, service agreements and other administrative documentation.
  • Communicate professionally with clients, residents, families and healthcare professionals.
  • Assist with incident, complaint and operational record keeping.
  • Assist with invoicing, billing administration, timesheets and payroll-related information.
  • Prepare reports, correspondence, notices and general documentation.
  • Assist with audits, compliance processes and quality assurance requirements.
  • Maintain confidentiality of all patient, resident, client and employee information.
  • Provide general operational and administrative support to management as required.

Minimum Requirements

  • Grade 12 / Matric.
  • Relevant administrative qualification will be advantageous.
  • Previous office administration experience, preferably within the nursing, healthcare, frail-care, retirement village or home-based care environment.
  • Strong computer literacy, including Microsoft Office.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
  • Professional, friendly and service-oriented approach.
  • High level of accuracy and attention to detail.
  • Ability to maintain strict confidentiality.
  • Experience with staff rostering, HR administration or healthcare compliance will be advantageous.
