ADMINISTRATOR / OPERATIONS COORDINATOR – EXPERIENCED CANDIDATES ONLY

We are seeking a highly organised, detail-oriented and proactive Administrator / Operations Coordinator to join our team. This role requires an individual who can work independently, manage multiple priorities simultaneously and maintain a high level of accuracy in a fast-paced operational environment.

Minimum Requirements (Non-Negotiable)

- Proven experience in an Administration and/or Operations role.
- Experience in a fast-paced catering environment requiring strict deadlines and multitasking.
- Advanced proficiency in Microsoft Excel, including formulas, filtering, sorting, and report preparation.
- Strong administrative skills with exceptional attention to detail.
- Excellent written and verbal communication skills in English.
- Ability to work independently with minimal supervision.
- Thorough understanding of food safety standards, hygiene practices, HACCP principles and allergen controls.
- Strong organisational and time-management skills.
- Valid South African driver's license and OWN transport.
- Contactable references from recent employers.
The Ideal Candidate Will Have Experience In:
- General administration and office management;
- Operations coordination and support;
- Compiling daily, weekly and monthly reports;
- Preparing reconciliations and maintaining accurate documentation;
- Data capturing and data verification;
- Monitoring deadlines and ensuring tasks are completed on time;
- Billing on Sage Business online.
- Filing systems and document control;
- Communicating professionally with clients, suppliers and internal stakeholders;
- Identifying problems and implementing practical solutions.
Key Responsibilities
- Manage and maintain administrative processes and records.
- Compile and distribute operational reports.
- Monitor operational activities and follow up on outstanding actions.
- Perform reconciliations and ensure the accuracy of information submitted.
- Coordinate schedules, meetings and operational requirements.
- Liaise professionally with staff, suppliers and customers.
- Maintain filing systems and ensure documentation is audit-ready.
- Assist management with ad hoc administrative and operational tasks.
- Ensure deadlines are met and escalate issues where necessary.
- Identify opportunities to improve efficiency and streamline processes.
