Full job description

We are seeking a detail-oriented and highly organised Registration Administrator to join our Human Resources team. The successful candidate will be responsible for managing statutory employer registrations and related administrative processes, ensuring compliance with South African labour legislation and regulatory requirements.

The Registration Administrator is responsible for ensuring the accurate and timely registration, maintenance, and compliance of external BC/HOA (Body Corporate/Homeowners Associations) with statutory regulatory bodies in South Africa.

  • Location: First Floor, Wrigley Field, The Campus, Corner of Main & Sloane Street, Bryanston & Remote Work on Non-Office Days (Must have reliable backup electricity & internet)

The Registration Administrator reports to the HR Manager and plays a critical part in supporting our clients and internal stakeholders by facilitating registrations, amendments, and maintenance of employer information with the relevant authorities, including the South African Revenue Service (SARS), the Unemployment Insurance Fund (UIF), and the Compensation Fund (Workmen’s Compensation / WCA). The ideal candidate will possess strong administrative skills, a sound understanding of employment legislation, and the ability to manage multiple deadlines with accuracy and professionalism.

Responsibilities

Employer Registrations

  • Facilitate employer registrations, de-registrations, and amendments with SARS for PAYE, SDL, and UIF purposes.
  • Manage employer registrations, amendments, and compliance requirements with the Unemployment Insurance Fund (UIF).
  • Attend to employer registrations with the Compensation Fund (Workmen’s Compensation / WCA).
  • Ensure all statutory registrations are completed accurately and within prescribed timeframes.
  • Maintain accurate records of registrations, correspondence, and supporting documentation.
  • Monitor registration statuses and proactively follow up on outstanding applications.
  • Provide guidance to clients and internal stakeholders regarding statutory registration requirements and processes.
  • Ensure compliance with relevant South African labour legislation, tax legislation, and regulatory requirements.
  • Prepare and submit required documentation to regulatory authorities.
  • Maintain confidentiality of employee and client information at all times.
  • Contribute to the continuous improvement of registration processes and administrative procedures.

Processing of Annual Returns

  • Process registrations and annual returns with the Compensation Fund (WCA/COIDA).
  • Assist with obtaining Letters of Good Standing and other compliance-related documentation.

Queries

  • Liaise with government departments and regulatory bodies regarding registration queries and compliance matters.
  • Assist with audits and compliance reviews relating to statutory registrations.

General

  • Departmental assistance.
  • Recordkeeping.
  • Any task reasonably assigned by management.

MINIMUM QUALIFICATION

The applicant must have completed a minimum of Grade 12/ Standard 10 (Matric) and have an excellent command of English as written and spoken language. Working knowledge of PAYE, UIF, SDL, COIDA/WCA, and relevant South African labour legislation will be advantageous.

  • Advanced Excel.
  • South African Tax, unemployment and compensation for occupational diseases act knowledge.
  • Understanding of LRA and BCEA.

  • Have strict planning, organization and execution skills

WORKING CONDITIONS

The applicant will be based in an open plan office or work remotely and will be faced with constant interruptions from different role players.

Weekend and/ or after-hours work may be required from time to time. There is a number of deadlines and expected turn -around times within this position, which may cause the applicant stress. The applicant is further required to work accurately with a minimum tolerance for data entry errors. The applicant will be required to deal with a wide variety of personalities on various matters.
