About the role

You'll coordinate the day-to-day procurement of FF&E and OS&E across Utopia's hospitality projects — from budgets and purchase orders to supplier logistics and installations. You'll collaborate closely with our Interior Designers and Senior FF&E Procurement Specialist to keep every order on time, on budget, and fully documented for Finance.

Responsibilities

• Coordinate FF&E and OS&E procurement — from sourcing and purchase orders to supplier payments and delivery tracking
• Build and manage procurement schedules and budgets, keeping every project on time and within budget
• Liaise with suppliers and manufacturers worldwide to negotiate quotes, terms, and delivery timelines
• Partner with the Finance team to raise funding requests, process purchase orders, and settle proforma invoices
• Organize FF&E logistics and installation together with local teams and contractors
• Maintain accurate procurement records and prepare weekly budget and status reviews
• Vet and onboard new suppliers, keeping an approved supplier list current for future projects

Requirements

• Bachelor's degree in Interior Design, Architecture, Supply Chain, or Logistics (Master's a plus)
• 5–10 years of procurement experience within a design studio or procurement agency
• Track record managing global suppliers across multi-region projects
• Advanced/fluent English
• Experience establishing and executing new procurement processes
• Experience preparing O&M manuals for hospitality projects
