THE OPPORTUNITY

As Alliance Media continues to grow its footprint across Africa and beyond, we are seeking a detail-oriented and process-driven Procurement Administrator to join our Procurement team based in Johannesburg. This is a critical support role that sits at the intersection of supplier compliance, procurement operations, and financial governance.

You will be responsible for ensuring our supplier database is accurate and compliant, supporting the end-to-end quotation process, maintaining meticulous procurement records, and working closely with Finance, Operations, and Legal teams to uphold the highest standards of procurement integrity.

KEY RESPONSIBILITIES

Supplier Management & Compliance

  • Assist with supplier onboarding — forms, compliance documents, and bank detail verification
  • Verify supplier legitimacy including company profile, tax/VAT status, and banking confirmation
  • Maintain and update the supplier database in Sage X3 (or equivalent ERP)
  • Ensure all suppliers meet Alliance Media’s internal procurement policies
  • Escalate non-compliant or high-risk supplier profiles for review

Quotations & Procurement Support

  • Request, collate, and compare supplier quotations in line with procurement thresholds
  • Prepare detailed quote comparison sheets covering cost, quality, and lead time
  • Support the Procurement Manager and buyers in sourcing decisions
  • Ensure competitive pricing and value-for-money outcomes on all procurement activities

Procurement Reporting & Administration

  • Maintain complete procurement records and audit trails for all transactions
  • Prepare regular reports on spend analysis, supplier performance, and outstanding orders
  • Support internal and external audit requirements with accurate and organised documentation
  • Ensure purchase orders, approvals, and invoices are correctly recorded and filed

Internal Coordination

  • Collaborate with Finance (AP and Budget Control) on PO and invoice reconciliation
  • Coordinate with Operations and project teams on timely procurement requirements
  • Work with Legal/Compliance to support supplier approval and contract management processes
  • Enforce procurement policies and escalate non-compliance as required

Process Compliance & Continuous Improvement

  • Ensure strict adherence to company procurement policies and approval frameworks
  • Identify and report process gaps, risks, or documentation deficiencies
  • Support continuous improvement initiatives within procurement workflows
  • Contribute to the development and maintenance of procurement SOPs

WHAT WE’RE LOOKING FOR

Minimum Requirements

  • National Diploma or Degree in Supply Chain Management, Commerce, or a related field
  • 2–3 years’ experience in a procurement, supply chain, or administrative role
  • Proven experience with ERP systems (Sage X3 is a strong advantage)
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP) and the broader MS Office Suite
  • Solid understanding of procurement processes, supplier onboarding, and compliance requirements
  • High attention to detail and strong documentation control habits

Advantageous

  • CIPS qualification (or currently working towards it)
  • Experience working in a regulated, audit-intensive, or multinational environment
  • Familiarity with contract management principles and supplier performance frameworks
