As part of our continued growth, we are seeking a highly professional, organised, and proactive Personal Assistant to provide executive-level support to the Managing Director and assist in ensuring the efficient operation of the business.

Position Overview

The Personal Assistant will serve as the primary administrative support to the Managing Director, managing schedules, coordinating meetings, maintaining records, handling correspondence, and assisting with various operational and strategic business activities. The successful candidate must be highly organised, professional, discreet, and capable of working in a fast-paced environment.

Key Responsibilities

  • Manage and coordinate the Managing Director's diary, appointments, meetings, and travel arrangements.
  • Screen, prioritise, and manage incoming emails, correspondence, and telephone communications.
  • Prepare professional reports, presentations, meeting packs, minutes, and business correspondence.
  • Coordinate internal and external meetings, including scheduling, venue arrangements, and follow-up actions.
  • Maintain confidential company records, documents, and executive information.
  • Assist with the preparation and submission of tenders, proposals, and client documentation.
  • Liaise with clients, suppliers, contractors, and stakeholders on behalf of the Managing Director.
  • Monitor deadlines, action items, and project deliverables to ensure timely completion.
  • Provide administrative support across multiple business functions and departments.
  • Assist with business development, marketing initiatives, and special projects as required.
  • Ensure the smooth running of executive and administrative functions within the organisation.

Minimum Requirements

  • Grade 12 (Matric).
  • Relevant qualification in Administration, Office Management, Business Administration, Executive Assistance, or a related field will be advantageous.
  • Minimum of three (3) years' experience as a Personal Assistant, Executive Assistant, Office Manager, or similar role.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong organisational, planning, and time-management skills.
  • Ability to manage multiple priorities and work under pressure.
  • High level of professionalism, confidentiality, and attention to detail.
  • Valid driver's licence and own reliable transport will be advantageous.
