About The Role

The Visa Coordinator is responsible for the end-to-end administration and coordination of employee visas, work permits, immigration applications and related documentation across the Group's international operations.

Key Responsibilities

Including, but not limited to:

  • Manage the full visa and work permit application process for employees travelling or relocating internationally.
  • Determine visa and work permit requirements based on employee nationality, destination country, assignment, and workshop.
  • Prepare, coordinate, and submit visa and work permit applications and supporting documentation.
  • Liaise with employees, immigration authorities, embassies, consulates, Immigration consultants, and external service providers.
  • Monitor application progress and follow up on outstanding applications.
  • Track visa and work permit validity periods and ensure timely renewals, extensions, and cancellations.
  • Ensure register is kept up to date for Immigration status of all international employees and contractors.
  • Provide management and project managers with guidance on visa, work permit, and entry requirements.
  • Work closely with HR, Project Managers, Travel, and employees to coordinate international mobilization.
  • Identify potential immigration issues that may affect employee mobilization and escalate where required.

Experience

  • 3-4 Years' Experience in visa, work permit, or immigration environment, dealing with different countries and nationalities.

Qualifications

  • High school certificate advantageous.

Skills

The following are the minimum skills required to perform the function:

  • Advanced skills in Microsoft Office (Excel, Word, and E-mail).
  • Excellent communicator both written (Email; WhatsApp; Teams) and verbal.
  • Ability to work in a highly pressurised environment.
  • Confidence to escalate and resolve queries.
  • Accurate capturing of information and attention to detail.
  • Practically minded in problem solving and application of theory to reality.
  • Customer Service orientated.

  • Have you managed visa or work permit applications from initial preparation through to approval?
  • Have you handled immigration requirements for employees travelling to or relocating to different countries?
  • Are you experienced in determining visa or work permit requirements based on an employee’s nationality and destination country?
  • Have you prepared and submitted immigration applications and supporting documentation on behalf of employees?
  • Have you liaised directly with embassies, consulates, immigration authorities, or immigration consultants?
  • Have you maintained an accurate register or tracking system for employee visa and work permit statuses and expiry dates?
  • Have you been responsible for monitoring visa applications and following up on outstanding applications or documentation?
  • Have you managed visa renewals, extensions, cancellations, or changes in immigration status?
  • Have you worked closely with HR, Project Managers, Travel teams, and employees to coordinate international employee mobilisation?
  • Have you identified and escalated immigration issues that could potentially delay or prevent an employee from mobilising internationally?
  • Are you comfortable providing managers and employees with guidance on visa, work permit, and international entry requirements?
