Full job description

Our client, a prestigious law firm in Paarl, is seeking a conveyancing secretary to join their dynamic team of professionals. The ideal candidate will be a meticulous, detail-orientated individual with strong organisational- and communication skills.

REQUIREMENTS AND DESIRABLE SKILLS

· Minimum Matric/Grade 12;

· Legal Secretary / paralegal / conveyancing qualification advantageous;

· Minimum 2-5 years conveyancing experience;

· In-depth knowledge of conveyancing software (LexisConvey, SearchWorks, GostPractice, RatesClearance.com)

· Sound computer literacy (e.g. Microsoft Excel)

· Knowledge of Sectional titles;

· Fluent in English and Afrikaans;

· Good writing and verbal communication skills with good telephone etiquette;

· Detail-orientated with excellent organisational skills;

· Deadline driven and quality-focused;

· Ability to work accurately, efficiently and effectively;

· Ability to work independently and as part of a team;

· Ability to work overtime when required to do so;

· Confident with the ability to work under pressure and remain positive and focused at all times;

· Resourceful, self-motivated with a sense of urgency and strong work ethic; and

· Trustworthy and reliable with a high level of integrity.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING

· Manage the FICA administration process;

· Taking transfer instructions, including estate-, property development- and sectional title transfers;

· Ensures effective diary management and meeting co-ordination;

· Typing and formatting letters, correspondence, legal documents and commercial agreements (copy typing required);

· Incorporating amendments to legal documents and commercial agreements;

· Conducting property, person and company searches;

· Maintaining/updating client contact details;

· Preparing client files;

· Liaising with clients, correspondents and deeds office clerk/driver;

· Attend to lodgements and registrations of all conveyancing matters;

· Manage client relationships;

· Preparing quotations, raising invoices and debt management.
